Extended Permissions are user permissions that change based on dynamic circumstances, such as workflow approvals or embargo dates.
Rules-based permissions offer a modern approach to access control that’s unique to Cumulus. Catalog Live Filtering enables you to define rules that Cumulus can use to determine when a user should have access to a specific asset record or category. Catalog Live Filtering also enables you to secure the files of one client from another, hide production files from sales personnel, show a director only files that need approval, and much more.
With permissions for individual asset records and categories, you can define user permissions on a per-asset or per-category basis in addition to the catalog-level permissions standard in Cumulus Entry and Workgroup. A granular permissions model like this enables you to easily grant and revoke permissions at any time, including asset access, editing, checkout and more. Permission templates make it easy to standardize permissions settings to ensure consistency.
Metadata field editing permissions helps ensure metadata accuracy by restricting editing to only authorized individuals. Even better, edit restrictions can turn a simple check box into a virtual digital signature, because you know only your CEO, art director or other authorized individual had access.

Configuring rules in Cumulus is easy, using drop-down menus (left). This rule releases assets only if the art director and editor have approved them, and if their distribution has not been stopped for any reason. If any of these conditions isn’t true, the asset is not available. Limit field access to only certain users for “digital signature” accountability.
Using the Roles & Extended LDAP module, you can set permissions for entire groups of users at once, based on the roles they play in your organization. When added to a role, users immediately inherit all permissions assigned to the role. If removed from the group, those added permissions are gone. Setting up new accounts is a snap, and removing access for ex-employees or temporary workers is quick and safe.
Your LDAP user accounts and roles can be used by Cumulus, so you don’t need to manage user information on two systems. Just add a role that corresponds to one of your LDAP roles, and assign some permissions. All users already in the LDAP role gain access to Cumulus based on the permissions you’ve defined.
You can also access all LDAP fields from within Cumulus. So whatever information you track in your LDAP system becomes accessible from Cumulus, and even add-on products. Want to add the phone number or email address of the cataloging user to an asset record? No problem. Need to grab the address information for a customer placing an order? All that information becomes available.
At the top of your Cumulus Entry or Workgroup category tree are tabs for Categories, Keywords and Sources. Using the Extended Categories module, you can change these categories and add as many more as you need. This enables you to define category structures that make sense for you organization.
Behind all Cumulus categories are metadata, just like you have in your asset records. Define as many category metadata fields as you need. The Extended Categories module enables users to easily search category metadata to find any categories. Once you’ve found a project category, all assets assigned to that project are just a double-click away.

Create as many custom category trees as you need. Change them at any time, and even reserve specific trees for specific users or groups.

Setting up an Oracle mirror is simple in Cumulus. Permissions determine which users have access to configuration options, so your setup is safe.
Autocataloging via AXR enables Cumulus to automatically catalog files referenced by your presentations, layouts, and more.
